Team Collaboration: Shared Documents and Templates (Agency Plan)

On the Agency Plan, create a team under Settings → Teams and invite up to 10 people by email; the team then shares documents and templates on its own tabs.

Prerequisites

  • Plan: Agency Plan ($49 one-time), or the Agency Plan free trial
  • People: the email addresses of the people you want to invite - each needs a BreezeDoc account to join

What Can a Team Do Together?

  • Team documents - a <Team name> documents tab on Documents that every member can open
  • Team templates - a <Team name> templates tab on Templates
  • Roles - Owner, Sender, Editor, or Viewer decide who can upload, send, and delete
  • Up to 10 members per team, counting pending invitations

Documents created on the team tab do not count toward a member's own monthly sending allowance.

How Do I Create a Team?

  1. Open Settings → Teams (or click + Create team on the Documents page).
  2. Enter a Team name and click Create Team.

You can create one team. As its creator you can always manage its members.

How Do I Invite Members?

  1. In Settings → Teams, click + Add member.
  2. Enter the Email address and choose a Role.
  3. Click Send invitation.

The person receives an email "You have been invited to join" followed by your team name, with an Accept Invitation button. They must be logged in to accept - the invitation joins the account that is logged in when they open the link, so they should use the invited email's account. Which Role Should Each Person Have?

  • Owner - everything, including inviting, removing, and changing roles
  • Sender - edit, send, expire, and delete documents (cannot upload)
  • Editor - upload and prepare documents (cannot send, expire, or delete)
  • Viewer - view, see Activity, and download

How Do Team Documents Work?

  1. On Documents, click the team's tab.
  2. Upload with Add new document on that tab (Owners and Editors) - the document belongs to the team.
  3. Members work on it according to their role: Owners and Senders send it, Viewers can open it and its Activity.

Documents on Your documents stay personal. A team document can be edited until every party has signed.

How Do Team Templates Work?

  • Open the team's tab on Templates and click Add new team template (Owners and Editors).
  • Anyone in the team can use a team template with Use template.
  • Personal templates cannot be shared afterwards - add the template on the team's tab instead.

Troubleshooting

I cannot create a team

  • Teams need the Agency Plan - see which plan you are on under Settings → Plan. If you already created a team, the create form no longer appears.

A member cannot see team documents

  • Check in Settings → Teams that their status is Active, not Pending.
  • Team documents are on the team's tab, not on Your documents.

A member cannot send or upload

  • Their role does not allow it: only Owners and Senders send, only Owners and Editors upload. Change the role in Settings → Teams.

+ Add member is greyed out

  • The team has 10 members and invitations. Remove a member or a pending invitation.

Which plan includes teams?

The Agency Plan ($49 one-time), including its free trial. The Free and Individual Plans have no teams.

How many people can join a team?

Up to 10, counting pending invitations.

Can I belong to more than one team?

Yes. Each team you belong to gets its own tab on Documents and Templates. You can create one team yourself.

What happens to documents when I remove a member?

Team documents stay with the team; the removed person just loses access.
