Customizing Document Emails (Individual and Agency Plans)
Change the subject and message of the signing email with Customize email on the Send for Signature page. It is available on the Individual and Agency Plans.
Prerequisites
- Plan: Individual Plan ($19 one-time) or Agency Plan ($49 one-time). On the Free Plan the option is greyed out.
- Document: parties and fields in place, ready to send (see How to Send a Document for E-Signature in BreezeDoc)
What Does the Default Email Say?
Without changes, each signer gets:
- Subject: "{{account.name}} has sent you a document to sign" - for example "Jane Smith has sent you a document to sign"
- Message: "Hi {{recipient.name}}, Please review and sign the following document from {{account.name}}", the document title, a note that no account is required to sign, and the signing link
- A Sign document button below the message
Replies go to your email address.
How Do I Customize the Email?
- In the document editor, click Send to signers and choose Send via email.
- On the Send for Signature page, tick Customize email.
- Edit the Subject and the Message. Both are required.
- Click Send for signature.

Your text is saved with the document and is filled in again the next time you open its send page. Automatic reminders reuse the same email - see Which Emails Does BreezeDoc Send? Notifications and Reminders.
Which Variables Can I Use?
Type a variable exactly as shown, with two curly braces on each side. BreezeDoc replaces it for each signer:
- {{account.name}} - your name
- {{document.title}} - the document name
- {{recipient.name}} - the signer's name
- {{recipient.email}} - the signer's email address
- {{document.signing_link}} - a link to sign, shown as the document name
The page lists the variables under Message as "Available Fields". A variable that is misspelled or does not exist is removed from the email, so check the spelling.

Subject: Please sign {{document.title}} by Friday
Message: Hi {{recipient.name}}, here is {{document.title}} as discussed. Please review page 3 before you sign. Thanks, {{account.name}}
Can I format the message?
Yes, with simple Markdown: wrap words in two asterisks for bold (**important**), start lines with "- " for a list, and press Enter for new lines. HTML tags are shown as plain text.
How Do I Get Customize Email on the Free Plan?
On the Free Plan, the Send for Signature page shows an upgrade box above Customize email. Upgrade to the Individual or Agency Plan (one-time payment, 60-day refund guarantee) with the Upgrade link at the top of the page - see How to Upgrade Your BreezeDoc Plan. Troubleshooting
Customize email is greyed out
- Your plan does not include it. It is part of the Individual and Agency Plans.
A variable is missing from the email
- It was misspelled or does not exist, so BreezeDoc removed it. Use the exact names above, in lowercase, with two curly braces on each side and nothing else around them.
I cannot send after ticking Customize email
- Fill in both Subject and Message - neither can be empty.
I want a different message for each signer
- A document has one subject and message for all parties. Use variables such as {{recipient.name}} to personalize it, or send separate documents.

Is Customize email available on the Free Plan?
No. It is included in the Individual Plan ($19 one-time) and the Agency Plan ($49 one-time).
Do reminder emails use my custom text?
Yes. Automatic reminders send the same subject and message as the first email.
Can I save my custom email for other documents?
The text is saved with each document, not as a reusable email template. To reuse it, set it on a template, or keep a copy to paste in.
Can I customize the 3-day expiration warning?
No. The expiration warning uses BreezeDoc's standard text - see Document Expiration.
