Invoice Payments: Online, Recorded, and Tracking Activity
Clients pay online with Pay by card (Stripe) or PayPal and the invoice updates itself; add other payments with More → Record payment. Invoicing works on every plan.
Prerequisites
- Plan: invoicing and PayPal on every plan; Stripe card payments on the Individual and Agency Plans
- Invoice: an invoice sent to your client (see How to Create and Send an Invoice in BreezeDoc)
- For online payments: Stripe connected or a PayPal email saved under Settings → Payments
How Can Clients Pay an Invoice?
- Online - the invoice email's View invoice button opens the invoice page with Pay by card (Stripe) and/or PayPal's buttons, depending on what you turned on under Online payment methods. See Stripe and PayPal.
- Any other way - bank transfer, cash, check, or anything else: you record the payment yourself.
What Happens When a Client Pays Online?
- The client pays the remaining balance in the invoice's currency.
- When Stripe or PayPal confirms the payment, BreezeDoc records it on the invoice automatically, and the invoice shows Paid.
- The payment buttons disappear once nothing is left to pay.
- BreezeDoc does not email you about online payments - check the invoice's Activity or your Stripe or PayPal account.
How Do I Record a Payment Myself?

- On Invoices, open More next to the invoice and click Record payment. (It is shown while the invoice is not marked paid.)
- Fill in Payment reference (for example a check or transfer number - required), Amount, Payment date, and Payment method: Stripe, PayPal, Bank Transfer, Cash, Check, or Other. Notes are optional.
- Keep "Email a payment receipt to" your client ticked if they should get a receipt.
- Click Record Payment. You see "Payment recorded successfully".
The receipt email is titled "Receipt for your payment to" followed by your name. Recorded payments cannot be edited or deleted afterwards, so check the amount before you save.
Can a client pay in parts?
Yes. Record each installment with its own amount; online payments always charge what is still due. Note that the Invoices list shows Paid as soon as any payment is recorded. After the first payment, the invoice's line items and amounts are locked.
How Do I Track Invoice Activity?

- Invoices list - each invoice shows a Paid, Sent, or Draft badge.
- Activity - More → Activity lists when the invoice was sent, viewed, and paid, with the recipient and details behind View Metadata. Download saves the activity as a PDF.
Which Currencies Can I Use?
The invoice editor offers 153 currencies. Clients pay in the invoice's currency; whether Stripe or PayPal accepts a given currency is up to them.
Troubleshooting
My client sees no payment button
- Turn on Stripe or PayPal under Online payment methods on the invoice, and check Settings → Payments: Stripe must show Disconnect Stripe (connected), or a PayPal email must be saved.
- The buttons are hidden once the invoice is fully paid.
I cannot find Record payment
- It is in the More menu (Actions on a phone) and is hidden once the invoice shows as paid.
I recorded a payment with the wrong amount
- Recorded payments cannot be edited or deleted in BreezeDoc. Email support with the invoice number and the correct amount.
My client did not get a receipt
- BreezeDoc sends a receipt only for payments you record with "Email a payment receipt to" ticked. For online payments, Stripe or PayPal handle the client's confirmation.

Am I notified when a client pays?
Not by BreezeDoc. Check the invoice's badge or Activity, or your Stripe or PayPal account.
Does BreezeDoc charge payment fees?
No. BreezeDoc adds no fee; Stripe's and PayPal's own fees apply to your accounts.
