How Multi-Party Signing and Signing Order Work

Add a party for each signer in the editor's Parties panel. Send via email signs in party order; Generate links lets everyone sign at once. Works on every plan.

Prerequisites

  • Plan: any plan - Free, Individual, or Agency. There is no limit on the number of parties.
  • Document: a file uploaded on Documents
  • Team documents: the Owner or Sender role to send

How Does Multi-Party Signing Work?

Each person who signs is a party. Parties are numbered in the order you add them (1st Party, 2nd Party, and so on), and every field you place belongs to one party. How you send decides the signing order:

  • Send via email - BreezeDoc emails the 1st party. When a party signs, it emails the next party. Signing by email always follows party order.
  • Generate links - you get a signing link for every party at once and share the links yourself. Parties can sign in any order.

There is no separate "sequential" or "parallel" setting - choose the way you send.

Adding Parties

  1. Upload your document on Documents. When the editor asks "Who is signing this document?", choose Multiple parties. (Only me, right now is for signing a document yourself.)
  2. In the Parties panel, click Add new party for each additional signer.
  3. To name a party, click it to select it, click it again, type a name, and click Save. Parties without a name show as 1st Party, 2nd Party, and so on.

You enter each party's name and email address when you send by email.

Can I change the order of parties?

No. The order is the order in which you added the parties; there is no option to drag or move them. Decide who signs first before you add parties. To remove a party, click its Delete (x) icon and confirm - this also deletes that party's fields. The icon appears only for parties that have not been sent the document yet, and a document always keeps at least one party.

Assigning Fields to Each Party

  1. In the Parties panel, select a party.
  2. Add fields to the page. Each field belongs to the selected party and is shown in that party's colour.
  3. Select the next party and add its fields.

Make sure every party has the fields they need to complete, usually a Signature field. For every field type, see How to Add Fields to a Document.

Sending to Multiple Parties

How do I send in party order?

  1. In the editor, click Send to signers and choose Send via email.
  2. On the Send for Signature page, enter a Name: and Email: for each party.
  3. Set the Document Expiration and any other options, then click Send for signature.

BreezeDoc emails the 1st party. Each time a party signs, the next party gets its email. To email a later party before its turn, click Send next to its name on the Documents list. The other options on this page are explained in How to Send a Document for E-Signature in BreezeDoc.

  1. In the editor, click Send to signers and choose Generate links.
  2. On the Sign links page, copy each party's link and share it with that person.

Every party can sign straight away, in any order. When no party has been emailed yet, opening the Sign links page marks every party as sent and emails no one, so BreezeDoc does not email later parties when an earlier party signs - use Resend next to a party on the Documents list to email it. If the document was already sent by email, opening the page changes nothing: the remaining parties are still emailed in turn.

What Does Each Signer See?

  • A signer fills in only their own fields.
  • They can see what parties who have already signed filled in.
  • Fields of parties who have not signed yet are hidden.

Tracking Progress

On Documents, each document lists its parties with Send or Resend and Sign link buttons. Click Activity to see when each party was sent the document, viewed it, and signed - see How to Track Document Activity and Download the Audit Log.

When Is the Document Complete?

When the last party signs, BreezeDoc creates the completed PDF and emails it to every party with an email address, and you receive a "document has been completed" email. You are not emailed each time a single party signs.

Troubleshooting

The next party did not get an email

  • Did you send the document with Generate links? Every party is then marked as sent and no party is emailed automatically - click Resend next to the party on Documents.
  • Check in Activity that the earlier party has signed.
  • Check the party's email address and ask them to look in spam or junk.

I added the parties in the wrong order

  • Before sending: delete the parties that are out of place and add them again in the right order. Deleting a party also deletes its fields.
  • After sending: the order cannot change, but you can email any party early with Send next to its name on Documents.

A signer cannot find their fields

  • The fields may belong to another party. Open the document (More → Edit), select the signer's party, and check which fields show in its colour.

I cannot delete a party

  • The Delete icon only appears for parties that have not been sent the document, and only when the document has more than one party.

Frequently Asked Questions

How many parties can I add to a document?

As many as you need, on every plan, including the Free Plan.

Can all parties sign at the same time?

Yes. Use Generate links and share each link, or send by email and click Send next to each later party on the Documents list.

Can I change the signing order after sending?

No. Parties sign by email in the order they were added. You can still email a later party early with Send.

Do I get an email each time a party signs?

No. You get one email when every party has signed. To follow progress, open Activity for the document.
