How to Sign a Document You Received in BreezeDoc

Open the email, click Sign document, fill in the yellow fields, then click Finalize and Confirm and sign the document. You need no BreezeDoc account to sign.

Prerequisites

  • The email: the signing email from the sender (sent by BreezeDoc on their behalf)
  • A browser: on a computer, phone, or tablet
  • No account needed: signing works through your own link

What Does the Signing Email Look Like?

  • The subject is usually "sender name has sent you a document to sign" - the sender can change the subject and message.
  • The Sign document button opens your own signing link.
  • Replying to the email reaches the sender.

Keep the email: the same link opens the document again later.

How Do I Sign?

  1. Click Sign document in the email. The page greets you with "Welcome! Ready to sign your document?" and how many fields need your attention.
  2. Click Start signing. Your fields are the yellow blanks ("Fill out the yellow blanks on the document below:"). Use Next and Back to move between them.
  3. Fill in each field (see below).
  4. Click Finalize. You see "You have filled" with the number of fields done.
  5. Click Confirm and sign the document. By clicking, you sign the document electronically.

Your entries are saved when you confirm - finish in one visit. Download at the top of the page gives you a PDF of the document at any time.

How do I fill in each field?

  • Signature and Initials - click "Click to sign" or "Click to add initials", then Type, Draw, or Upload an image of up to 2 MB. A typed signature lets you choose a font; typed initials are up to 4 characters in a plain font. Click Save changes and sign. Unsign removes it again.
  • Text and Email - type your answer and press Enter to go on; Shift+Enter adds a new line in a text field.
  • Checkbox - click to tick it.
  • Dropdown - choose from "Select an option".
  • Date - filled in automatically with today's date.

If a required field is empty, you see "Please fill all marked fields before finalize." Field types are explained in Field Types Reference Guide.

What If the Document Asks for a Passcode?

The sender can protect a document with a passcode. You then see "Document Access Required" and "This document is protected with a passcode." - enter the passcode the sender gave you. After five wrong tries you see "Too many incorrect attempts. Account locked for 15 minutes." Ask the sender for the passcode if you do not have it.

What Happens After I Sign?

  • A confirmation page shows "You signed the document" and whether the document is waiting for the next person or completed.
  • If there are more signers, the next one gets the document - see How Multi-Party Signing and Signing Order Work.
  • When everyone has signed, you receive an email ("You've successfully signed" and the document name) with the signed PDF attached.
  • Opening your link again shows the confirmation page, where you can download a copy.

Some senders send you to their own page after signing instead of the confirmation page.

Troubleshooting

The page says "Document Expired"

  • The signing deadline has passed. Contact the sender at the email address shown - they can set a new date or send a new copy. See Document Expiration.

Finalize says some fields are missing

  • Use Next to go through every yellow field - each required field must be filled before you can finalize.

I click Confirm and sign the document and see "We couldn't complete your document"

  • The message names the fields to check. Click Back, fill in those fields again, then click Finalize and confirm once more.
  • If it still fails, follow the steps in Troubleshooting Common Issues, then contact the sender.

I cannot find the email

  • Search your inbox and spam or junk for the sender's name or "has sent you a document to sign". The sender can also resend it to you.

Questions about the document itself go to the sender. For problems with signing, email support@breezedoc.com with the sender's name, the document name, and what you see on screen.

Do I need a BreezeDoc account to sign?

No. You sign through the link in your email.

Can I save my progress and finish later?

No. Your entries are saved when you click Confirm and sign the document, so finish in one visit.

Will I get a copy of the signed document?

Yes. When everyone has signed, BreezeDoc emails you the signed PDF. You can also download a copy from the confirmation page.

I made a mistake after signing - what now?

Your signed fields cannot be changed. Contact the sender - they can send you a corrected document.
