How to Add a Passcode to a Document

Add a passcode so a signer must enter it before the signing page opens: choose Send via email, click Add Security under the party, and set it. Every plan has it.

Prerequisites

  • Plan: any plan - Free, Individual, and Agency all include passcodes.
  • Document: parties and fields in place, ready to send (see How to Send a Document for E-Signature in BreezeDoc).
  • A way to reach the signer: BreezeDoc does not send the passcode, so you give it to them yourself - for example by phone or in a separate message.

What Does a Document Passcode Do?

A passcode is set for one party. When that party opens their signing link, BreezeDoc first shows a passcode page. The signing page opens only after they enter the correct passcode.

  • Add a passcode for one party, several, or all of them. Each party has its own passcode.
  • The signing email does not contain or mention the passcode.
  • The same passcode page appears when the party opens their link again later, for example to download the document.

How Do I Add a Passcode to a Document?

  1. In the document editor, click Send to signers and choose Send via email.
  2. On the Send for Signature page, find the party (for example 1st Party) and, below Name: and Email:, click Add Security.
  3. Tick Require passcode to view.
  4. In Passcode:, type the passcode. Click the eye icon to show it and check what you typed.
  5. Repeat for any other party that needs a passcode.
  6. Set the Document Expiration and any other options, then click Send for signature.
  7. Give each party their passcode yourself.

Once Require passcode to view is ticked, the passcode is required: the page does not send with the field empty. A passcode can be up to 191 characters long.

Where can't I add a passcode?

  • Templates: the template's Template options page has no passcode setting. Add the passcode when you send a document created from the template (see Creating and Using Templates in BreezeDoc).
  • Generate links: the Sign links page has no passcode setting. Passcodes are added on the Send via email page.
  • API: documents sent through the API have no passcode option.

What Does the Signer See?

  1. The signer clicks Sign document in the email.
  2. A page titled "Document Access Required" says "This document is protected with a passcode."
  3. They type the passcode in Passcode: and click Continue to Document.
  4. The signing page opens, and they sign as usual - see How to Sign a Document You Received in BreezeDoc.

Is the passcode case-sensitive?

Yes. It must match exactly, including upper and lower case. Spaces at the start or end are ignored.

How often does the signer enter it?

Once per browser session. If they come back in a different browser or on another device, they enter it again.

What happens after wrong passcodes?

A wrong passcode shows "Invalid passcode. Please try again." and a warning with the number of tries left. After five wrong tries the signer sees "Too many incorrect attempts. Account locked for 15 minutes." and the page shows Access Temporarily Locked. After 15 minutes they can enter the correct passcode.

Troubleshooting

I can't find the passcode option

  • It is on the Send for Signature page, not in the document editor: click Send to signers → Send via email, then Add Security under the party.
  • It is not on a template's Template options page or on the Sign links page.

The signer doesn't have the passcode

  • BreezeDoc does not email it and the passcode page has no reset option. Send it to them yourself.
  • BreezeDoc does not show the passcode again after you send, so keep a note of it.

The passcode is rejected although it looks right

  • Check upper and lower case, and characters that look alike, such as 0 and O or 1 and l.
  • Ask the signer to paste the passcode instead of typing it.

The signer sees "Too many incorrect attempts"

  • Five wrong tries lock the passcode page for 15 minutes. Confirm the exact passcode with the signer, then have them try again after the 15 minutes.
